Position Summary: 

Hill Air is seeking a Scheduler to join our Corporate Flight Department located at Love Field in Dallas, TX. The Scheduler will manage trip scheduling, provide continual flight following, and maintain accurate crew/passenger flight manifests of the company aircraft for both domestic and international flights. The ideal candidate will possess strong customer service skills, keen attention to detail, and the ability to multitask while taking the initiative in a fast-paced, professional environment. Additionally, this individual must possess excellent interpersonal communication skills with the ability to interact with individuals at all levels within the organization as well as outside partners and customers.

Responsibilities:  

Scheduling and Logistics: 

  • Schedule travel for internal and external passengers on company aircraft. 
  • Research, select and arrange services provided by airport Fixed Base Operators (FBOs). 
  • Coordinate international handling and obtaining landing/overflight permits, slots, and/or visas for crewmembers and passengers.
  • Coordinate ground transportation and accommodations for crewmembers and passengers, as necessary. 
  • Coordinate scheduling of company aircraft for flights and maintenance.
  • Continually monitor the current location of company aircraft and flight department personnel. 

Operational and Administrative: 

  • Perform office administration duties as directed by the Director of Aviation or his designee. 
  • Ensure scheduling software, (TripPlanning) is a current and accurate representation of the Flight Department schedule. 
  • Record post-flight data and maintain flight department activity logs. 
  • Retain passenger manifests and all other related records.
  • Negotiate fuel discounts with providers when necessary.
  • Participate in the Department’s FAA/IS-BAO Safety Management System and Emergency Response Plan. 

Customer Experience:  

  • Act as the primary point of welcome for all guests and passengers, offering assistance and hospitality upon their arrival at Hill Air’s hangar facility. 
  • Assist Corporate Flight Attendants with catering orders, when needed, both at home base and away. 
  • Additional duties as assigned.

Required Skills/Abilities: 

  • Ability to process information quickly and react in a positive manner during unexpected and/or critical situations. 
  • Strong problem-solving skills with the ability to adapt to last-minute scheduling changes and operational needs. 
  • Must be able to remain calm, professional and respond effectively in all types of situations. 
  • Must possess strong written and verbal communication skills. 
  • Must possess excellent organizational skills. 
  • Proficiency in Microsoft Office programs (Outlook, Word, PowerPoint, Excel). 
  • Proficiency in TripPlanning or equivalent scheduling software programs. 
  • Must exhibit a keen working knowledge of World geography and geopolitics as they relate to global flight operations.

Education and Experience: 

  • High school diploma required; Bachelor’s degree preferred. 
  • Minimum 5 years of experience in domestic and international flight planning. 
  • Prior experience in aircraft scheduling and handling aircraft crewmember requests. 
  • Prior experience using aviation scheduling and flight operations software (e.g. FOS, TripPlanning, or similar platforms). 
  • Familiarity with FAA and NTSB regulations, IS-BAO standards, and international aviation compliance requirements. 
  • Solid understanding of corporate aviation operations, including logistics, passenger services, and crew coordination. 
  • Prior experience liaising with Fixed Base Operators (FBOs) and negotiating service contracts (e.g. fuel, catering, transportation, etc.), a plus.
  • FAA Aircraft Dispatch License preferred but not required.
